Position Summary

The Facilities Coordinator directly supports the Facilities Manager with on-going facility responsibilities.

Essentials Duties and Responsibilities

Typical responsibilities include, but are not limited to, the following:

  • Testing
  • Supports the Facilities Manager in overseeing and managing daily operations consisting of corrective and preventative maintenance for critical office and building systems
  • Assists Facilities Manager with vendor and building management and coordination of on-site construction, maintenance and/or repair work
  • Maintain accurate and updated records for FDNY, vendor certificates of insurance and other files
  • Act as the primary lead on managing facility service requests (e.g., janitorial, HVAC, lighting, etc.) submitted via the Firm’s and/or the building’s service request platforms promoting a high level of satisfaction among staff by promptly responding to their requests and coordinating with internal teams, third-party vendors and/or building management, ensuring the same high level of service from each party
  • Review meetings and conference room events schedule and take a leadership role in meeting & working with various teams as needed
  • Evaluate vendor invoices for contract compliance and enter invoices via the Firm’s accounting software
  • Work closely with Facilities Manager to ensure excellent ongoing care of office furniture, inventory, and maintenance supplies
  • Participate in making floor rounds to identify areas needing corrective measures
  • Assist in developing preventative maintenance resource manuals, procedures and/or schedules for equipment, lighting, furniture and other facility areas
  • Develop department and team processes and manage key performance indicators
  • Act as a Facilities brand ambassador by exhibiting and providing exceptional client service
  • Participate in Facilities team meetings and projects; some cross-coverage in Facilities roles as needed
  • Performs and supports other tasks and duties as requested
Qualifications / Position Requirements
  • Technically competent with excellent problem solving, analytical, and managerial skills
  • Must have ability to read and interpret blueprints, schematics, and basic floor plans
  • Excellent  time management & organizational skills required; ability to multi-task in a busy environment
  • Strong interpersonal skills
  • Functional understanding of the technical aspects of building & facilities operating disciplines (e.g., HVAC, plumbing, electrical, etc.)
  • Must be able to work collaboratively with lawyers and staff, demonstrating strong teamwork and a positive attitude
  • Excellent written and verbal communication skills
  • Ensure confidentiality of all the Firm’s and client’s documentation and information
Education and/or Experience
  • College degree or technical vocational certification
  • Minimum of 3-5 years of facility, property, construction or hospitality related work experience in a professional services organization, preferably a law firm
Compensation

The expected base salary for this position ranges from $65,000 - $75,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, anticipated assignment, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered. Davis Polk offers a competitive salary and comprehensive benefits package.
